January |
No regularly scheduled Board Meeting. President: Place ads in Newport Miner to solicit bids on coming year's Capital Improvement Projects (if any). Secretary Treasurer: Obtain a profit/loss statement from the accountant for the previous year. Once they obtain a copy the Secretary Treasurer shall pass along a copy to the President to be utilized in drafting the proposed budget for the following year. Secretary Treasurer: Identify two volunteers to audit book for the prior year (January to December) books. |
February |
First Budget meeting for following year. President: Present Proposed Budget for following year to Board. Secretary Treasurer: Arrangements for annual audit. Recording Secretary: Begin the Index of Motions for the new year. Recording Secretary: Present first draft of Spring Newsletter to Board for consideration. Board Members: present any proposals (Bylaw changes or other motions) to be placed in the Spring Newsletter for consideration by the General Membership at the Annual Meeting. |
March |
Board Meeting: Second Budget Meeting (proposed budget to go into the Spring newsletter). Board Members: Award Project Bids (if any) to contractors. Hire maintenance person for coming year. President: Contact Excess Disposal to arrange for Beach Dumpster. Recording Secretary: Mail budget to members within 30 days of adoption & at least 90 days prior to the annual meeting. |
April |
President: Begin Capital Improvement projects, if any. 2nd Saturday: 90-day deadline for Members to present any proposals for Bylaw changes or other matters to the Board for inclusion in the June Newsletter and consideration by the General Membership at the Annual Meeting. Board: Work on June Newsletter. Maintenance: Spring Spraying for noxious weeds. Boat Docks: Move and anchor docks from winter to summer mooring. |

President: Arrange for season's Security: July 4th; other. Board: Finalize June Newsletter. Maintenance: Open beach restrooms. Secretary-Treasurer: Obtain copy of renewed TYCO contract for following year from accountant. |

Vice President: Contact Phoenix for July 4th Recording Secretary: Mail June Newsletter for Annual Meeting. Secretary Treasurer: Obtain copy of renewed Insurance for following year from accountant (August through August). |

Annual Meeting: First weekend following July 4th. Terms Expire: Appoint Officer positions at Board Meeting following Annual Meeting. President: July 5th Beach Clean-up Day. Secretary-Treasurer: Obtain copy of renewed Non-Profit status for following year from accountant. Secretary-Treasurer: Notify attorney of names and emails of board members. |
